DIRECTOR OF FIRST PRESBYTERIAN CHILDREN'S CENTER

A salaried position with experience in the teaching and administrative operations of a child care facility. Must meet Texas qualifications required for a director of a licensed child care center. Requirements: preferred Bachelor’s Degree in Early Childhood Education or Child Development or equivalent experience.

GENERAL DESCRIPTION & LINES OF RESPONSIBILITIES

The Director of the First Presbyterian Children’s Center (FPCC) is responsible to the Children’s Center Ministry Committee (CCMC) for the day-to-day operation of FPCC within the goals and objectives established by the committee. The pastor/head of staff serves as (or designates a church staff member to serve) as the on-site supervisor.

DUTIES

      STAFF

• Hire and provide orientation for staff within qualifications set by the Department of Protective and Regulatory Services (licensing) and the National Association of Education for Young Children’s Accreditation guidelines.
• Supervise educational program of all classrooms.
• Provide in-service training and staff development directed toward meeting both state requirements and the specific needs of FPCC.
• Provide support for the staff through regular staff meetings.
• Establish and supervise regular working hours for the staff and ensure that substitutes are available as necessary.
• Make written evaluation of all staff members once a year and discuss individually with each employee.

• Provide personnel policies and work with CCMC to keep policies updated as needed.
• Dismiss staff with approval of the CCMC as necessary.
• Maintain personnel files on all employees including application for employment and evaluation records.
• Participate in email correspondence with church staff, community contacts, parents, etc., in matters related to FPCC, and maintain a record of those emails as facilitated by and coordinated with CCMC.

      BUILDING

• Ensure that the building is opened and closed in accordance with stated church-wide procedures.
• Supervise general condition and upkeep of Children’s Center facilities.
• Maintain licensing requirement of facilities and keep all inspections current.
• Notify church office of any maintenance requirements.
• Notify the CCMC of any major facility problems or needs.

      OPERATIONS & FINANCE

• Collect tuition and other fees, copy checks, make deposits, and convey copies of the checks and deposit slips to the bookkeeper.
• Forward all itemized receipts to the bookkeeper.
• Review, sign, co-sign, or designate an authorized signatory for all checks from FPCC written by the bookkeeper, with single signature on checks up to $500.00 and with co-signatories required on all checks exceeding $500.00.
• Keep accurate records of staff hours worked and provide a copy of the record to the bookkeeper for payroll processing
• Ensure that all financial records for the Center are accurate, current and available for audit upon request in cooperation with the bookkeeper.
• Assist with preparation of annual budget recommendations for the CCMC and assist with the budget preparation.
• Partner with CCMC to develop and maintain operating procedures.
• Provide monthly tuition enrollment information to the bookkeeper for invoice preparation.
• Complete the accreditation procedures and maintain standards required for re-accreditation.
• Follow requirements and procedures necessary for participation in Childcare Services (CCS).
• Order school supplies.
• Handle mail, phone inquiries, and other general Center business.
• Maintain all aspects of FPCC in good standing to meet state licensing requirements.

      CHILDREN

• Maintain a waiting list and take appropriate measures to fill openings.
• Enroll and keep records on all children.
• Keep up-to-date medical files on staff and children; comply with Health Department regulations.
• Dismiss children from FPCC with the approval of CCMC as necessary.

      PARENTS

• Interview all parents enrolling in FPCC.
• Be available for telephone and/or personal parent conferences as necessary.
• Attend all parent meetings and assist in planning and execution of parent functions.
• Encourage parent participation as part of classroom activities and special functions.
• Communicate with the parents through newsletters and other notices (field trips, special events, holidays, illnesses, changes in staff, etc.) as necessary.
• Enforce all Children’s Center policies and work with CCMC to keep them updated as needed.

      COOK AND KITCHEN

• Discuss and assist in planning of meals and snacks; post menus for parents.
• Order or authorize ordering of food and kitchen supplies.
• Ensure cleanliness and upkeep of kitchen facility to level of near perfect in the scoring of Health Department inspections.
• Obtain a Food Handler’s card and maintain certification.

      MEETINGS

• Attend weekly Church Staff Meeting.
• Attend Parent Support Group meeting.
• Attend CCMC meeting and email the director’s report to all committee members the week before the regularly scheduled meeting.

      PROFESSIONALISM

• Maintain neat and clean physical appearance.
• Notify the Center staff and church on-site supervisor in event of Director’s illness, and report the name of the employee in charge during your leave for vacation or personal leave time.
• Work with staff members, church staff, CCMC, parents, and other persons affiliated with FPCC in a cooperative manner.
• Follow the personnel policies of the Children’s Center.
• Take part in regular training and professional development.
• Achieve and/or maintain qualifications required for a director of a licensed child care center.

      CHURCH RELATIONS

• Facilitate cooperation between Center staff and Church staff.
• Schedule use of outside playground, fellowship hall, and van in coordination with church activities.
• Keep church office informed of all activities including field trips, special events, illnesses, special deliveries, changes in staff, etc.
• Communicate FPCC requests for property changes, upkeep, and repairs to CCMC.

      OTHER DUTIES AS REQUIRED

QUALIFICATIONS

The requirements for this position include a Bachelor’s degree in early childhood education or child development, and experience in the teaching and administrative operations of a child care facility. One must be able to meet the qualifications required for a director of a Texas licensed child care center.
